POSITION: General Services Specialist
PAY GRADE: 7

SUPERVISOR: SVP/Chief Operating Officer
JOB SUMMARY:
This position provides essential administrative and operational support to ensure the proper functioning of the Bank’s mailroom and supply services, delivering the highest level of customer service to headquarters and various satellite team members. The General Services Specialist coordinates multiple tasks, including managing supplies, handling facility-related requests, and performing general administrative duties.
ESSENTIAL FUNCTIONS:
Position Specific:
- Purchase supplies, maintain inventory, monitor usage, and forecast future needs.
- Review and process supply-related invoices.
- Ensure proper operation of mailing machinery.
- Maintain records and information regarding postal regulations that affect the Bank’s mailings and postage equipment.
- Assist Deposit Operations with mailings.
- Assist with Bank record storage and maintenance.
Mailroom Operations:
- Oversee general mailroom operations, including sorting of incoming mail and delivery of mail to the appropriate departments.
- Process outgoing mail, including travel to the post office to retrieve and send mail.
- Handle incoming and outgoing supplies and maintain the supply room.
Compliance:
- Adhere to corporate policies, procedures, and regulatory banking requirements.
- Complete all required training.
- Actively communicate matters of potential audit or compliance risk.

JOB QUALIFICATIONS:
Skills and Abilities:
- Demonstrates strong motivational, time management, multi-tasking, problem-solving, presentation, and organizational skills. Ability to be detail-oriented. Ability to operate a U.S. postal mail machine is preferred.
Computer Skills:
- Basic personal computer skills including electronic mail, word processing, spreadsheet, graphics, etc.
Customer Service Skills:
- Strong interpersonal skills to foster teamwork and create positive connections with customers. Establish and meet goals to increase efficiency and improve customer service.
Minimum Education & Experience:
- High School diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Skills:
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills:
- Ability to add and subtract two-digit numbers and to multiply and divide by 10’s and 100’s. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
Reasoning Ability:
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
PHYSICAL DEMANDS:
The physical demands described below must be met by an employee to successfully perform the essential functions of this job.
- Must have a valid driver’s license and the ability to drive/operate a motor vehicle.
- Required to stand for extended periods of time.
- Required to sit for prolonged periods.
- Manual dexterity sufficient to reach/handle items and work with fingers.
- Required to walk, reach with hands and arms, push items.
- Required to stoop, kneel, crouch, and crawl.
- Required to talk, hear, read, and write.
- Required see close, distance, color, peripheral, depth perception, and ability to focus.
- This position requires occasional lifting and moving of up to 50 lbs.
